1 Who We Are

CubbyDocs is a document generation service for licensed home daycare providers, operated as a sole proprietorship ("we," "us," or "our"). Our website is located at cubbydocs.com. If you have questions about this policy, you can reach us at the contact details at the bottom of this page.

2 What Information We Collect

We collect only the information necessary to provide our service. This falls into two categories:

Information you give us directly:

• Your email address, when you join our waitlist or sign up for a free trial or paid plan via Gumroad
• Your name, facility details, and professional license number, when you fill out a document generation form
• Payment information, processed securely through Gumroad — we never see or store your card number
• The form responses you submit to generate documents (provider details, incident descriptions, child information, etc.)

Information collected automatically:

• Basic usage data such as pages visited and time on site, collected via Cloudflare analytics
• Your IP address and browser type, collected automatically by our hosting provider

3 How We Use Your Information

We use the information we collect to:

• Generate and deliver documents to your email address
• Send you trial expiry notifications and upgrade reminders where relevant
• Process payments for paid subscriptions
• Respond to support requests or questions you send us
• Improve the service based on how it is used

We do not use your information for advertising, profiling, or any purpose not listed above.

4 Children's Information

CubbyDocs is a tool for adult daycare providers, not a service directed at children. When you fill out a document form, you may enter information about children in your care (such as a child's name or date of birth for an incident report). This information is:

• Used only to generate the document you requested
• Not stored on our servers beyond the time needed to process and deliver your document
• Never sold, shared, or used for any other purpose
• Your responsibility to handle in accordance with your own state's childcare privacy requirements

CubbyDocs is not directed at children. We do not knowingly collect personal information directly from children under 13 through our website.

5 How We Share Your Information

We do not sell your personal information. Ever. We share information only in the following limited circumstances:

• Service providers: We use third-party tools to operate CubbyDocs — including Anthropic (AI document generation), Make.com (automation), Tally.so (forms), Airtable (customer data), and Gumroad (payments). Each receives only the data necessary to perform their specific function and is bound by their own privacy policies.
• Legal requirements: We may disclose information if required to do so by law, court order, or to protect the safety of our users or the public.
• Business transfer: If CubbyDocs is acquired or merged with another entity, your information may transfer as part of that transaction. We will notify you before that happens.

6 Email Communications

By joining our waitlist or signing up for an account, you consent to receiving relevant communications from CubbyDocs. We will not send you unrelated marketing emails. Every email we send includes an unsubscribe link. You can opt out at any time and we will stop contacting you within 10 business days.

We comply with the CAN-SPAM Act. Our emails will always clearly identify CubbyDocs as the sender and include our contact information.

7 Data Retention

We keep your information only as long as necessary:

• Free tier and trial user records are kept until you request deletion
• Account information is kept for as long as your account is active
• Form submission data is transmitted to our automation pipeline to generate your document. Submissions may be retained temporarily in our form provider's dashboard (Tally.so) and are deleted on a regular basis, no longer than 30 days after submission. This data is never used for any purpose beyond generating your requested document.
• Payment records are retained as required by law (typically 7 years)

You can request deletion of your data at any time by contacting us at the address below.

8 Your Rights

Depending on where you live, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Request deletion of your information ("right to be forgotten")
• Opt out of any communications at any time
• Request a copy of your data in a portable format

To exercise any of these rights, contact us at the address below. We will respond within 30 days. We do not charge a fee for reasonable requests.

9 Cookies & Tracking

CubbyDocs does not use advertising cookies or cross-site tracking technologies. Our hosting provider (Cloudflare) may set technical cookies necessary for security and performance. These do not identify you personally and are not used for marketing.

We do not use Google Analytics, Facebook Pixel, or any other advertising or retargeting technology.

10 Security

We take reasonable steps to protect your information, including using HTTPS encryption on all pages, working only with reputable third-party services, and not storing sensitive data longer than necessary.

No method of transmission over the internet is 100% secure. If you believe your information has been compromised, please contact us immediately.

11 Changes to This Policy

We may update this privacy policy from time to time. When we do, we will update the "Last updated" date at the top of this page. If changes are significant, we will notify active users by email. Continued use of CubbyDocs after changes are posted means you accept the updated policy.
